Dance RTO Administration Officer

We’re looking for a Dance RTO Administration Officer to support the operational and administration aspects of our RTO team. This broad role will include handling RTO enrolments, processing assessments and issuing certificates.

This is a part-time role that requires 15 hours per week (flexible according to your schedule), working predominately from home with some offsite meetings and event attendance required.

The Ideal Candidate

We need a self-motivated, highly organised professional with confident administration skills and an strong understanding of the dance sector. You will have a good understanding of how an RTO and/or training and assessment operates in an administrative sense, possess strong communication skills and great time management. You must hold a Certificate IV in Training and Assessment. You like getting stuff done and, although you love being part of a team, you also have the individual fortitude and focus to work autonomously.

Tasks Include (but not limited to):

  • Provide administrative support to the Ausdance Vic RTO and follow all relevant procedures.
  • Assist in developing and maintaining RTO policies and procedures and ensure adherence.
  • Maintain the RTO information and filing systems, including faculty and student records and archives.
  • Assist the RTO Manager in meeting all RTO-related contract requirements and coordinate the RTO audit process.
  • Maintain positive working relationships with all RTO faculty, trainers, students, and contract personnel.
  • Providing ad hoc support to Marketing, Programming and Managing Director as required.

Key Selection Criteria

Education & Qualifications
  • Certificate IV Training and Assessment – REQUIRED
Knowledge & Experience Required Preferred
  • 1+ years in an RTO administration role Or 2+ in a vocational education or dance administration role – REQUIRED
  • Experience in VCE VET dance programs – Preferred, not required
  • Experience in event coordination – Preferred, not required
  • Good working knowledge of the dance, arts or entertainment industry Preferred, not required
Technical & Specialist Competencies
  • Knowledge of ASQA and relevant compliance requirements – REQUIRED
  • High level knowledge of Microsoft Office applications – REQUIRED
  • Experience of VETtrak and VET enrol systems or strong ability to learn – REQUIRED
  • Working With Children Check – REQUIRED 
  • Good working knowledge of social media management tools (eg. Meta Business Suite) Preferred, not required
  • Working knowledge of editing tools (eg. Canva) Preferred, not required
  • Working knowledge of project management tools (eg. Monday.com) Preferred, not required

Employment Conditions

Initial 12-month contract which can be extended. Part time (15 hours per week), salary $60,000 pro rata equivalent per annum plus super (paid in addition to wages at the legislative levels. The position will receive the pro rata equivalent of four weeks’ annual leave and sick / personal leave, calculated upon 10 days’ sick leave per year for a full-time position. Due to the nature of the role, there may be some attendance at events required outside core working hours. Time-in-lieu will be offered in the event of this, negotiated with the Managing Director.
